How do I check the expected data format for a report and download a sample format?

Last updated on Sep 02, 2026

Short Answer: Click 'View format' below a report's upload box to open 'Expected data format', review 'Data preview (sample rows)' and the right-side fields, then click 'Download format'.

PreRequisites

  1. Open the New reconciliation page or have the report tile visible

  2. File(s) prepared if you want to compare to sample rows

Steps

  1. On the New reconciliation page click 'View format' under the report tile you want to inspect.
'Expected data format — ' modal opens.

  2. In the modal review 'Data preview (sample rows)' and the right panel fields: 'Sheet', 'Header row', 'Date', 'Amount', 'Reference / Identifier' and 'Records to include'.
You can see sample rows and the mapped tokens examples: 'order_release_id', 'Final_Amount', 'Payment_Date'.

  3. If you want the sample file, click 'Download format' at the bottom-right of the modal.
A format file sample format is downloaded to your computer.

  4. Close the modal with 'Close' or the 'X' when finished.
You return to the New reconciliation page.

Troubleshooting

  1. Downloaded format doesn't match the file you intended.
LikelyCause: You opened the wrong report's 'View format' Payment vs RT vs Sales.
Action: Re-open 'View format' for the correct report and download that format. Check the modal header 'Expected data format — '.

  2. Sample rows don't show the right header row.
LikelyCause: 'Header row' field may be set incorrectly.
Action: Update the 'Header row' input to the correct row number e.g., '1' and confirm the preview aligns.

Note: Field tokens visible in the modals include 'order_release_id', 'shipment_id', 'Sale_Order_Code', 'Payment_Date', 'Final_Amount', 'Total_Amount'.
