How do I configure a file's Sheet, Header row, Date, Amount and Reference/Identifier columns?

Short Answer: Open the uploaded file's 'Configure file' modal, choose the Sheet and Header row, select the Date column, pick the amount representation, and add Reference/Identifier columns. PreRequisites 1. File already uploaded 2. Know which row contains column headers 3. Know the column names for date, amount and identifiers Steps 1. Click the pencil edit icon on the uploaded file to open 'Configure file - Entity A statement' or 'Configure file - Entity B statement'. 'Configure file' modal appears with a data preview. 2. In the right panel use the 'Sheet' dropdown to select the worksheet containing transactions e.g., 'Branch Ledger' or 'Head Office Ledger'. Correct sheet selected and preview shows rows from that sheet. 3. Set 'Header row' to the row number where the column headers are present example shows '5'. Preview column headers align with the data. 4. Under 'Date (optional)' select the column that contains the transaction date e.g., 'Document Date'. Dates are associated with the selected column. 5. In 'Amount' choose how amounts are represented: 'Single signed amount column' or 'Separate credit and debit columns' and then pick the appropriate column e.g., 'Net Movement (USD)'. Amount mapping is set and preview shows amount values. 6. Under 'Reference / Identifier' add one or more columns used to match transactions chips like 'Reference No', 'PO / Agreement Ref', 'Narration / Memo', 'Doc No'. Identifier chips appear showing selected columns. 7. Use 'Add column' in the data preview if you need to create or combine columns optional. New column is added to preview if needed. 8. Close the modal X to save and return to the reconciliation setup. File mapping is applied and used for reconciliation. Troubleshooting 1. Dates show as '2025-01-05T00:00:00' in the data preview. LikelyCause: 'Header row' is set incorrectly or the Date column is not selected. Action: Set 'Header row' to the row that contains your headers e.g., 5 and select the correct 'Document Date' under Date. 2. Totals or signs are incorrect after reconciliation. LikelyCause: Amount column not mapped correctly or file uses separate credit/debit columns. Action: In 'Amount' choose 'Single signed amount column' and select 'Net Movement (USD)', or choose 'Separate credit and debit columns' and map each column accordingly. 3. Transactions that should match are not matching. LikelyCause: Required identifier columns were not added as Reference / Identifier. Action: Add identifiers such as 'Reference No', 'Doc No', 'PO / Agreement Ref' or 'Narration / Memo' in the 'Reference / Identifier' section and re-run reconciliation. Note: Selected Identifier columns show as chips; you can include multiple identifier columns to improve matching.

Why do I see differences between Entity A and Entity B totals?

Short Answer: 'Differences' come from unmatched or partially matched transactions — review the 'Fully matched', 'Partially matched', and 'Unmatched' cards to find where amounts or counts differ. PreRequisites 1. Reconciliation run completed 2. Results page open Steps 1. Open the reconciliation results page and look at the summary cards: 'Total', 'Fully matched', 'Partially matched', and 'Unmatched'. Cards show amounts and transaction counts per statement. 2. Click 'Partially matched' and 'Unmatched' cards or tabs to view the specific transactions causing the difference. Lists of transactions that are partial or unmatched appear. 3. Open individual groups using the 'Partially matched transaction details' modal to inspect matched rows and the 'Match basis'. You can identify which reference/amount combinations caused the grouping. 4. If needed, adjust file mappings Reference / Identifier or Amount and re-run the reconciliation to see if differences resolve. Adjusted mappings produce updated match results. Troubleshooting 1. Many transactions are partially matched or unmatched, causing a large difference. LikelyCause: Identifier columns missing/wrong or amount mapping not correct e.g., separate credit/debit not handled. Action: Open 'Configure file' for both files, ensure correct Reference / Identifier columns and Amount mapping, then re-run reconciliation. Note: The summary cards provide a quick way to locate where mismatches occur before drilling into row-level details.
