How do I map Date, Amount and Reference columns when configuring an uploaded file?

Short Answer: Open the file's 'Configure file' modal, use the Data preview to pick the Date column, choose how amounts are represented single signed column or separate Credit/Debit, and select Reference / Identifier columns. PreRequisites 1. File uploaded to Books or Credit card statement panel. 2. Know which columns in your file contain Date, Credit, Debit, and any reference/identifier values. Steps 1. From the upload page click the pencil edit icon on the file card to open 'Configure file - Books' or 'Configure file - Credit card statement'. The 'Configure file' modal opens e.g., 'Configure file - Credit card statement' or 'Configure file - Books'. 2. Use the Data preview on the left to identify column headers and sample rows examples: 'Trans Date', 'Description', 'Reference' or 'Date', 'Num', 'Memo/Description'. You can see the actual column names to map. 3. Under 'Date (optional)' select the column that contains transaction date e.g., 'Trans Date' or 'Date'. The Date field is mapped. 4. Under 'Amount' choose if amounts are a 'Single signed amount column' or 'Separate credit and debit columns' then map 'Credit amount' and 'Debit amount' accordingly e.g., 'Credit (USD)', 'Debit (USD)'. Amounts are interpreted according to the mapping; helper text clarifies the net calculation. 5. Under 'Reference / Identifier' select one or more columns to use for matching. Selected columns appear as tags e.g., 'Reference', 'Description', 'Num'. Reference / Identifier tags are set for matching. 6. Close the modal by clicking 'X' to apply mapping and return to the reconciliation page, then re-run reconciliation. Mapping is applied for the next run. Troubleshooting 1. Transactions still show wrong totals or the Difference is non-zero after running. LikelyCause: Incorrect amount representation or swapped Credit/Debit mappings. Action: Open 'Configure file' and ensure you selected the correct option under 'How is the amount represented in this file?' and that 'Credit amount' and 'Debit amount' are mapped to the correct columns. 2. Matches are not happening using the expected identifier. LikelyCause: The Reference / Identifier column is not selected or is inconsistent between the two files. Action: Edit both files' Configure file settings and select matching identifier columns. Add multiple identifiers if needed so both sides contain the same identifier values. Note: Helper text in each Configure file modal shows the net calculation used example: 'Net amount = Credit - Debit' on the Credit card statement modal and 'Net amount = Debit - Credit' on the Books modal.

How do I upload Books and Credit card statement files and run a credit card reconciliation?

Short Answer: Upload your Books and Credit card statement files to the respective panels, enter the Credit card account name and Period, then click 'Run reconciliation'. PreRequisites 1. Be signed in to Cointab. 2. Have Books (.xlsx) and Credit card statement (.xlsx) files ready examples shown: QuickBooks_Credit_Card_Books (1).xlsx, Amex_Credit CardStatement_.xlsx. 3. Know the Credit card account name and Period month/year to reconcile. Steps 1. Open the Credit card reconciliation page. You see the Books / ledger and Credit card statement panels and the 'Run reconciliation' button. 2. In the Books / ledger panel click '+ Add more files to Books' and upload your Books file. The Books file appears as a file card inside the Books panel. 3. In the Credit card statement panel click '+ Add more files to Credit card statement' and upload the statement file. The Credit card statement file appears as a file card in that panel. 4. Enter the 'Credit card account name' and select the 'Period' Select month/year at the top. Both fields are filled and ready for the run. 5. Click 'Run reconciliation' top-right. The reconciliation runs and you are taken to the results summary with cards such as 'Fully matched' and 'Unmatched'. Troubleshooting 1. The 'Run reconciliation' button is disabled or nothing happens when I click it. LikelyCause: Required inputs e.g., 'Credit card account name' or 'Period' are not filled or there is a temporary UI issue. Action: Fill 'Credit card account name' and 'Period', then try again. If it still doesn't respond, refresh the page and retry. 2. File upload fails or file is not accepted. LikelyCause: File is corrupt or not in the format shown. Screenshots show .xlsx files. Action: Re-export the file as .xlsx and re-upload. If problems continue, try a different browser or check file size and content. 3. I uploaded files but the summary did not update. LikelyCause: You updated files on an existing report without using the update flow. Action: From the summary page click 'Add files & update report' to return to the upload/configure screen, then re-run reconciliation. Note: Example file names visible in the UI are .xlsx; the UI shows separate panels for Books and Credit card statement.

How do I view details of a matched transaction and unmatch it?

Short Answer: Open the matched row to view 'Matched transaction details' and click the 'Unmatch' button in that modal to separate the pair. PreRequisites 1. A reconciliation has been run and the results summary is visible. 2. You can access the Fully/Partially/Unmatched tabs. Steps 1. On the results summary open the tab containing the transaction e.g., 'Fully matched' or 'Partially matched'. The list of transactions for that category displays. 2. Click the matched row you want to inspect to open the 'Matched transaction details' modal. The 'Matched transaction details' modal appears. 3. Review the 'Match basis' area and the paired records under 'Books / ledger transactions' and 'Credit card statement transactions'. You can see which identifiers and amounts were used to match; totals and the Difference are shown. 4. To unmatch, click the 'Unmatch' button in the modal. The transaction pair is separated; they will appear in 'Unmatched' after refresh or re-run. Troubleshooting 1. 'Unmatch' is not responding or not present. LikelyCause: Modal may not be fully loaded or temporary UI error. Action: Close and reopen the modal, refresh the page, and try again. If the problem persists, re-run reconciliation. 2. Unmatched items still appear matched after unmatching. LikelyCause: Results need to be refreshed or reconciliation re-run to update summary cards. Action: Refresh the results page or click 'Run reconciliation' to update the view. Note: The modal shows the exact Book row and Statement row used for the match and the 'Match basis' e.g., 'Reference ID + Amount'.

What do the totals and 'Difference' on the summary cards mean?

Short Answer: Each card compares Books/ledger vs Credit card statement totals and the 'Difference' shows the numeric gap for that category. Green 0.00 means balanced. PreRequisites 1. You have run a reconciliation and are on the summary page. Steps 1. Open the reconciliation summary page and read the cards titled 'Total', 'Fully matched', 'Partially matched', 'Unmatched', and 'Skipped'. Each card shows Books/ledger and Credit card statement amounts and transaction counts. 2. Locate the 'Difference' value on the card to see the numeric gap for that category. Difference indicates reconciliation balance for that card; green '0.00' indicates no discrepancy. 3. Click the card or open the matching tab Fully matched, Partially matched, Unmatched to view row-level details below. Detailed rows and per-row differences are visible. 4. Drill into specific rows by clicking the row to open 'Matched transaction details' for forensic review. You can inspect the paired records and match basis to find causes of differences. Troubleshooting 1. The 'Total' card shows a non-zero Difference. LikelyCause: There are unmatched or partially matched transactions or mapping issues. Action: Inspect 'Partially matched' and 'Unmatched' tabs, review mappings in Configure file modals, correct data, and re-run reconciliation. Note: Cards display both amounts and transaction counts for Books/ledger and Credit card statement.

Why do I have unmatched or partially matched transactions and how do I fix them?

Short Answer: Unmatched or partially matched transactions usually result from identifier mismatches, incorrect amount mapping or sign differences — inspect the rows, check file mappings, correct data and re-run. PreRequisites 1. A reconciliation has been run and you can view the 'Partially matched' or 'Unmatched' tabs. 2. Ability to edit Configure file settings for both files. Steps 1. Open the 'Partially matched' or 'Unmatched' tab on the results page to list problematic transactions. You see transactions that did not fully match. 2. Click a row to view 'Matched transaction details' and check the 'Difference' column and 'Match basis'. You can see why the match failed missing identifier, amount difference, etc. 3. Open each file's Configure file modal and confirm Reference / Identifier columns match across both files. Add additional identifiers if needed. Both files expose comparable identifiers for matching. 4. Verify 'How is the amount represented' setting and Credit/Debit mapping. Note helper text: Credit file shows 'Net amount = Credit - Debit'; Books shows 'Net amount = Debit - Credit'. Amount signs and fields are consistent across both files. 5. Correct source data normalize identifiers or adjust amounts if necessary, then re-run reconciliation. Previously unmatched items may move to Fully matched or Partially matched depending on corrections. 6. Use 'Add filter' to isolate the remaining problematic rows and repeat inspection. Easier identification and resolution of remaining issues. Troubleshooting 1. All amounts are off by a sign or show large differences. LikelyCause: Credit and Debit mappings reversed or wrong 'How is the amount represented' option selected. Action: Open Configure file for both files and set the correct amount representation, then re-map the 'Credit amount' and 'Debit amount' fields appropriately. 2. Identifiers look similar but don't match e.g., spacing or prefixes. LikelyCause: Formatting differences between files. Action: Normalize identifier values in source files trim spaces, unify prefixes or select additional identifier columns that align between files. Note: Start with mapping checks Date, amount type, Reference / Identifier before changing source data.
